1. High Volume Access and Simultaneous Scheduling
One of the biggest obstacles in popular events is the massive volume of accesses and appointments that occur in a short time span. Thousands of users try to secure their spot in attractions like Escape Rooms simultaneously, which can overwhelm less robust systems, resulting in slowness, errors, and a frustrating user experience. The eAgenda platform was designed to support this load, using a scalable architecture that ensures the necessary stability and speed even during peak moments. This allowed the Bienal do Livro Rio to offer a smooth and efficient scheduling process, even with high demand for Escape Rooms.
2. Booking Limitation per User (CPF and Email)
To ensure that the largest possible number of visitors had the opportunity to participate in Escape Rooms, it was crucial to implement a system that limited the number of bookings per individual. The eAgenda platform allowed the configuration of rules that prevented duplicate or excessive bookings by CPF and email. This functionality is vital to prevent fraud and ensure fair distribution of slots, ensuring the experience was accessible to a broader audience and that slots weren't monopolized by few users.

This means that when attempting to schedule, the system automatically checks if the participant meets age requirements, blocking bookings from users who don't qualify and ensuring compliance with event guidelines. This functionality simplifies management for organizers and avoids non-compliance situations at the attraction location.
4. Waiting List Management
In events with high demand and limited spots, it's common for some participants not to show up, leaving idle spots. To optimize occupancy and public experience, eAgenda included a waiting list system. When all spots for a specific time were filled, interested parties could sign up for a waiting list. In case of cancellation or no-show, the system automatically notified the next in line, allowing spots to be filled quickly and minimizing missed opportunities for visitors and event organization.
5. Group Booking and Data Validation
Considering that Escape Rooms are group activities, the eAgenda platform was configured to allow a single booking to include multiple participants. Additionally, to ensure data integrity and effective participation, a validation system was implemented where complete companion data should be provided within a stipulated timeframe. Otherwise, the booking was automatically cancelled, releasing spots for other interested parties and optimizing session management.
